outlook for mac

  1. open Outlook from your toolbar or Applications folder
  2. select Preferences from the Outlook menu
  3. click the accounts icon
  4. select the + icon from the bottom of the list and select 'Email' from the list. if you have asked for an Exchange Mailbox please see the separate instructions for Exchange setup.

  6. enter your account details as shown above, using your email address in the email address and user name fields, and mail.yourdomainname.co.uk in the incoming and outgoing server fields. Choosing 'POP' as your mail type will download your mail to your PC automatically as new mail arrives. selecting 'IMAP' as your mail type stores all your mail on the server letting you see it on both your PC and a mobile device or webmail.
    NOTE : your mailbox has a storage limit of 400MB. If you set your mailbox to IMAP you need to ensure that you regularly download your emails to a folder on your computer so that they are not automatically deleted and your mailbox does not reach capacity - blocking further incoming and outgoing mail.
  7. click 'Add Account'
  8. in the account view you can change the Account Description if you like - this is the title that will be shown in your inbox.
  9. check your full name displayed - this name will be shown as your 'From' name in others mail clients when you send them email so if the account you are setting up is for a sales mailbox you could have 'Sales At My Company' as the name.setup complete

iPhone / iPad

  1. go to Settings > Mail, Contacts & Calendars > Add Account...
  2. select Other and select Add Mail Account
  3. fill in details
  4. select IMAP if you want to sync your mail with your PC, Mac or Webmail - this will leave all mail on the server until you download it to an offline folder on your computer.
  5. select POP to download mails to your iPhone / iPad and to your PC or Mac separately.
  6. if you get a message saying 'Cannot Verify Server Identity' click Continue
  7. when setup is complete click Save

 

outlook 2003 for windows

  1. On the Tools menu, click E-mail Accounts.

  1. In the appropriate boxes, fill in your name, email address, user name (same as your email address), password. Set your incoming and outgoing mail servers as mail.yourdomainname.co.uk

outlook 2007 & 2010 for windows

although most people add an e-mail account when Outlook first runs, your first or additional e-mail accounts can be added at any time. Open Outlook from the Windows Start menu

  1. click the File tab.
  2. under Account Information, click Add Account.

if you do not have outlook or another mail program on your PC or Windows laptop you can download Windows Live Mail for free from Windows Live Essentials

  1. open Windows Live Mail
  2. the first time you open the software, Windows Live Mail will prompt you to add your email accounts
    enter your email address, password (tick to remember) and your name.
  3. click Manually configure server settings
  4. choose 'POP' as your mail type to download your mail to your PC automatically as new mail arrives. selecting 'IMAP' as your mail type stores all your mail on the server letting you see it on both your PC and a mobile device or webmail.
